Privacy policy
Updated 4 October 2026
Renewday stores the information you add so your business can track renewal dates and send reminders. This policy explains what we collect, how we use it, and how to ask for access or deletion.
What we collect
- Your name, email address and account authentication information.
- Company details, timezone, team membership and access roles.
- Employee names and contact details, expiry dates, notes, reminder schedules and documents that you upload or import.
- Business billing addresses, subscription status, payment-provider identifiers and billing events. We send your business billing address to Stripe to prepare invoices and calculate tax. Stripe handles payment details; Renewday does not store your full card number or security code.
- Activity history, email delivery records and technical logs used to operate and protect the service. Hosting providers may log IP addresses and request information.
How we use it
We use this information to provide your workspace, control access, schedule and deliver emails, manage subscriptions, answer support requests and investigate errors or abuse. We do not sell your personal information or use workspace documents for advertising.
Employee records and reminders
Your business decides which employee information to add. Only add information you are authorized to use, and tell employees how their details will be used. Reminder emails can include names, record titles and expiry dates. Check recipient addresses before enabling reminders.
Authorized members of your workspace can access information according to their role. If your employer manages a record about you, contact them first to correct it. You can also contact us about privacy concerns.
Service providers
We use Supabase for accounts, database storage and private files; Resend for email; Stripe for payments; and OpenAI Sites and Cloudflare for hosting and site access. Google Gmail handles our support email. These services process the information needed to perform their functions. Information may be processed outside your country, including outside Canada.
Cookies and browser storage
Renewday uses cookies to keep you signed in. The demo stores sample-workspace changes in your browser’s session storage. Hosting and payment services may use their own cookies for authentication, security and payment processing. Renewday does not currently add advertising trackers.
Retention and deletion
Workspace information is retained while the workspace is in use. Deleting an item or replacing a document does not necessarily erase earlier files, activity history or backup copies. For account closure, a copy of your information or deletion of retained files, contact support.
We verify your identity and authority before fulfilling a request. We may retain records needed for billing, fraud prevention, disputes or legal obligations. Backup copies may remain until the provider’s backup cycle expires. Canceling a paid subscription does not delete your workspace.
Security and your choices
We use HTTPS and access controls to protect your information. No online service can promise complete security. Keep your password private and only invite people who need access. Avoid uploading unrelated sensitive information, such as bank details or government identification numbers.
You can update records in your workspace, change reminder schedules and contact us to request access, correction or deletion. Where applicable, you can also raise a concern with your privacy regulator.
Contact and changes
Renewday’s owner is responsible for our privacy practices and acts as Privacy Officer. For privacy questions, access requests or complaints, email getrenewday@gmail.com with the subject “Privacy request.” You can also email us to request our business mailing address for correspondence with the Privacy Officer. You do not need an account to request these contact details.
We will update the date above when this policy changes and notify account owners of material changes through the service or email.
