What’s in the template?

  • Employee name and optional email, when a record belongs to a person.
  • A clear title and category for each certificate or renewal.
  • An optional issue date and the expiry date from your records.
  • Notes for the person arranging the renewal or checking the paperwork.

How to use it

  1. Open the CSV. Use Excel, or choose File → Import → Upload in Google Sheets.
  2. Replace the examples. The people and dates are fictional. Use the dates on your own documents or confirmed renewal schedule.
  3. Keep one row per record. Give each policy, licence or certificate its own title and date. Leave the employee columns empty for company records.
  4. Use year-month-day dates. For example, 2027-03-01 means March 1, 2027. Keep the column headings if you plan to import into Renewday.
  5. Review the list regularly. Sort by expiry date and decide who will arrange each upcoming renewal. Store the spreadsheet in a location your team controls.

The category values in the file match Renewday’s importer. Keep the value from a matching example row, such as insurance or employee_certification, when adding similar records. You can edit categories after import.

When you want automatic email reminders

A spreadsheet works as a list, but someone still needs to check it. Renewday lets you import the CSV, review the rows and choose email reminders before each expiry. You can also attach documents and find records by employee, category or status.

Try the spreadsheet import demo with these fictional examples first. In your real account, replace the sample rows before importing, then review recipients, reminder dates and company timezone. Documents are attached separately after import.

Renewday’s Free plan includes 10 tracked items, with no card required. Paid plans start at CAD $12 per month plus applicable tax.
