A renewal routine for businesses and small teams
Keep insurance and licence renewals on your calendar
A policy renewal email goes to one inbox, a licence sits in a folder, and the next vehicle inspection is written on a separate sheet. Bringing the dates into one register makes it easier to see what needs attention before the current paperwork expires.
Renewday helps trades, construction, landscaping, restoration and property-maintenance teams organize those dates and schedule email reminders. Start with the records your business already maintains.
Record the date and the next action
- Insurance: record the policy title, expiry date and who will contact the broker or insurer.
- Business licences and permits: use the date on the document or confirmed with the issuing body.
- Vehicles and equipment: identify the asset in the title and use its confirmed inspection or renewal date.
- Paperwork: keep the current document with the record so the next person can find it.
If a renewal application, cancellation notice or booking must happen before the expiry date, record that action separately with its own due date. A reminder about the end date alone may leave too little time to complete the work.
Choose notice that leaves time to act
Work backwards from what you need to do: request documents, discuss changes, obtain a quote or book an inspection. A first reminder 60 days before a policy expires and a follow-up at 14 days could suit one business; another may need more time. These are planning examples, not required notice periods.
Renewday offers 90, 60, 30, 14, 7 and 1 day reminders, or a custom schedule for each record. Company records notify the workspace owner. Employee records can also notify the assigned employee when an email is saved. Check the company timezone and recipient details when you set the schedule.
Start with one policy
- Add an expiry called “Commercial liability — company policy”.
- Select Insurance and enter the date shown on your current policy.
- Attach the document and note who is arranging the renewal.
- Choose reminders that leave time to obtain the new paperwork.
After the renewal is complete
Check the new paperwork, update the expiry date and attach the current document. In Renewday, the new date schedules the next reminders. Review due-soon and expired records regularly alongside email; messages can be delayed or fail.
Already using a spreadsheet?
Download the free expiry-tracking spreadsheet template, or export your existing list as CSV. Renewday lets you review rows before confirming an import. Keep a backup of your source file and attach documents to the imported records afterward.
Try a shared renewal register
The Free plan includes 10 tracked items without a credit card. Start with a policy, a licence and an inspection, then add employee records as needed. Paid plans start at CAD $12 a month plus applicable tax.

Renewday tracks dates you supply. It does not verify insurance coverage, licence validity or inspection requirements. Confirm those details with the issuer or the person responsible for the renewal.
